Privacy Policy
This policy explains how Fire Rated Systems Pty Ltd (ABN 65 276 259 386) — FRS — collects, uses, stores and discloses personal information, and how we handle the project documents you send us. It applies to this website and to enquiries made through it.
What we collect
When you contact us or submit an enquiry we collect the information you provide: your name, company, email address, phone number, your role, the project and its location, and anything you write in the message. If you upload files we collect those files and their contents. We also collect standard website analytics such as pages viewed and approximate location, which is not used to identify you.
Why we collect it
To respond to your enquiry, to review and price the work, to carry out the work, to keep project records, and to meet our legal and contractual obligations. We do not sell personal information, and we do not use enquiry details for marketing unless you have asked us to.
Files you upload
Drawings, schedules, reports and photographs are stored in private storage that is not publicly accessible. They are used to assess and deliver your enquiry. Files may be processed by approved software services, including AI-assisted tools, to organise the enquiry before an FRS person reviews it. Your files are not used to train any AI model — ours or anyone else's.
We keep enquiry files for as long as they are needed for the enquiry, the work that follows it and our record-keeping obligations. Ask us what applies to your files and we will tell you, and you can ask us to delete a file at any time.
Cookies and analytics
This website uses cookies and similar technology only for two purposes: keeping the site working — for example holding what you have typed into a form so a failed submission does not lose it — and understanding in aggregate how the site is used, such as which pages are read and roughly which region visitors come from.
We do not use advertising cookies, we do not build advertising profiles, and we do not sell or share what we measure with advertising networks. You can block or delete cookies in your browser settings; the site will still work, though a form may not remember what you typed.
Who we share it with
Our own staff, and where necessary the suppliers, consultants and software providers we use to deliver the work and run this website. We require those providers to protect your information. We may disclose information where the law requires it.
How we protect it
Access to enquiry data and uploaded files is restricted to people who need it. Administrative accounts use multi-factor authentication. Files are scanned for malware and stored privately. No system is perfectly secure, and we will tell you if a breach affects your information in a way that is likely to cause serious harm.
Where your information is stored
This website is hosted in Australia. Our email runs on Microsoft 365, and our project files and documents are held in Dropbox.
Some of those providers store or process information outside Australia — Dropbox primarily in the United States, and Microsoft may access or process information from other countries in the course of supporting the service. By sending us an enquiry or uploading files you accept that your information may be handled this way. We take reasonable steps to use providers that protect it to an equivalent standard, but we cannot control how the law of another country applies to them.
If you would prefer your information not be stored with an overseas provider, tell us before you send it and we will discuss what we can do.
Access, correction and complaints
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Contact us at admin@fireratedsystems.com.au. If you are not satisfied with how we have handled your information you can complain to the Office of the Australian Information Commissioner.
Changes
We update this policy when our practices change. The date it was last updated is shown at the end of this page.
